This policy covers the Agape Child Care mobile app and the staff console at our website. Both are private tools for the families enrolled at our center and the people who work here. They are not open to the public, and there is nothing in them to browse without an account.

The short version. We hold what a licensed childcare center has to hold about the children in its care, and we use it to run the center and to tell families about their own child. We do not sell it, we do not advertise in it, and there are no trackers or analytics in the app. A parent sees their own child and nobody else's.

Who uses this, and who does not

Accounts are created by the center for staff, and by parents and guardians of children enrolled with us. The app is not directed at children and children do not have accounts. Information about a child is entered by the center or by that child's own parent or guardian.

What we hold

Your account Name, email address, phone number, your password (stored only as a one-way hash, never in a form we or anyone else can read), and a profile picture if you add one. To sign you in and to know which children you are allowed to see.
A child Name, date of birth, photograph, classroom, the days and hours they attend, arrival and departure times, absences, immunization and physical examination dates, allergies and medical notes, emergency care plans, custody arrangements where they affect collection, and who may collect them. To care for the child safely and to meet Florida licensing requirements, including 65C-22.006 F.A.C. on health records.
Parents and guardians Name, relationship to the child, phone numbers, email address, address, employer and work phone where given, and how fees are paid. So we can reach somebody about their child, and so the right people can collect them.
Staff Personnel and credential file — background screening, training, certifications and their expiry dates, hire date, attendance. Required of us by 65C-22.003 F.A.C. Visible to center administration only.
The day Notes, photographs, meals, naps, nappy changes, moods and activities recorded by teachers; incident and accident reports; behaviour plans; signatures on those reports. To tell you about your child's day, and to keep the records the state requires us to keep.
Messages Messages between families and staff, and between staff. So the center and families can talk in one place instead of across personal phone numbers.
Your device A push notification token, the platform (iOS or Android) and a device name, if you turn notifications on. To deliver a notification to your phone. Nothing else. Turn notifications off and the token is deleted.

What we do not collect

Who can see what

This is enforced by the database itself, not by what a screen chooses to show, so a mistake in the app cannot cross the boundary:

Photographs

Teachers may photograph children during the day and attach the photograph to an update about that child. A photograph of a child is delivered only to that child's own family and to staff who work with them. Before any photograph of a child is sent, the person taking it has to confirm the child is not in distress, is properly dressed and that the picture will not upset the family receiving it.

If you would prefer no photographs of your child, tell the office and we will record it on their file.

Text messages

If you agree to it, we text you about your own child and your place at the center — pickup, paperwork that needs signing, and days we are closed. Agreeing is optional: nothing about your child’s place here depends on it, and we ask separately rather than folding it into anything you sign.

Message frequency may vary. Message and data rates may apply. You can stop at any time by replying STOP to any message, by telling the office, or by writing to us — any of those works, and we act on it straight away. Reply HELP to any message and we will tell you how to reach us. Because these messages are about your child rather than advertising, stopping them stops all of them, including closures, so we will reach you another way.

We do not sell or share your mobile number or the fact that you agreed to be texted. No mobile information is shared with third parties or affiliates for marketing or promotional purposes. It is used only to send you the messages described here, and it is passed only to the phone company that carries them.

What we keep is your number, the date you agreed, the date you stopped if you do, and the messages we sent you — the same record we keep of an email. Our Messaging Terms say the same in full.

Who else is involved

We use a small number of service providers to run the app. They process information on our instructions and are not permitted to use it for their own purposes.

We do not sell personal information, we do not share it for advertising, and we do not disclose it to anyone else except where the law requires it — for example a lawful request from the Florida Department of Children and Families, a licensing inspection, or a mandatory report of suspected abuse or neglect, which we are legally obliged to make.

How long we keep it

While a child is enrolled, and afterwards for as long as Florida childcare licensing requires those records to be kept. Records of an incident, a signature, or a child's attendance are not deleted on request while that obligation stands, because they are the center's compliance record as well as yours. When a child leaves, their family's account is switched off and their information stops being visible in the app, but the file is retained.

Security

Everything travels over an encrypted connection. Photographs and documents are held in private storage and can only be opened through a link that is generated for the person requesting it and expires. Passwords are stored as a one-way hash. Who may read what is decided by rules held in the database itself rather than by the app.

No system is perfect. If we ever discover a breach affecting your information, we will tell you.

Changes

If this policy changes we will update the date at the top and, where the change matters, tell families in the app.
